Secure File Sharing: Leveraging SharePoint for Controlled Access

We implemented a secure and controlled solution for sharing sensitive files through email attachments by leveraging SharePoint Portal Server.

Project Scope:

  • The solution is designed to work with both Microsoft Exchange Server and hMailServer email servers.
  • The solution utilizes group-based access control to restrict the sending and receiving of sensitive attachments.
  • Designated groups of users are authorized to share files with specific sources, ensuring controlled access to confidential information.

Project Methodology:

  1. Attachment Identification:

    2. -The solution employs a mechanism to identify sensitive files based on file extensions, file sizes, or specific pre-defined patterns.

  2. Attachment Detachment:

    3. -For identified sensitive attachments, the solution intercepts the email messages and detaches the attachments from the original emails.

  3. Attachment Upload to SharePoint:

    4. -The detached sensitive attachments are securely uploaded to a designated SharePoint Portal Server location.

  4. Attachment Delivery:

    5. -Instead of sending the sensitive attachments directly through email, the solution generates a link to the uploaded attachment on the SharePoint Portal Server.

    6. -The SharePoint Portal Server repository is secured with stringent access control mechanisms to ensure that only authorized users can access the sensitive attachments.

  6. User Authentication:

    7. -The solution integrates with existing user authentication systems to verify the identity of users attempting to access sensitive attachments.
